Office Administrator

Role Summary: The office manager will be responsible for working collaboratively with the COO to ensure business operations run like a well-oiled machine.  Your goal will be to maximize the company’s effectiveness and efficiency by ensuring operations and procedures are organized, correspondences are controlled, filing systems are designed, supply requisitions are reviewed and approved and that clerical functions are properly assigned and monitored.

The ideal candidate will be an energetic professional who doesn’t mind wearing multiple hats. Experienced in handling a wide range of administrative and executive support related tasks and able to work independently with little or no supervision. Well organized, flexible and enjoy the administrative challenges of supporting an office of diverse people.

Responsibilities:

  • Ensuring office financial objectives are met by preparing annual budget for the office, planning the expenditures, analyzing variances and carrying out necessary corrections that may arise
  • Controlling correspondence with customers, partners and vendors
  • Creating PowerPoint slides and making presentations
  • Designing and improving filing systems
  • Reviewing, approving and placing supply requisitions
  • Inventory control
  • Supporting budgeting and book-keeping procedures
  • Managing shipping/receiving
  • Preparing payroll and employee onboarding

Desired Characteristics:

  • Experience with QuickBooks
  • Proficient in MS Office (Word, Excel & Powerpoint specifically)
  • Knowledge of accounting, data and administrative management practices and procedures
  • Excellent time management skills and ability to multi-task and prioritize work
  • Excellent written and verbal communication skills
  • Habit of detailed note-taking
